TERMS AND CONDITIONS
IMPORTANT/INTRODUCTION
Please note, these are applicable to all guests, consumers and customers paying or non-paying.
RESERVATIONS, PAYMENTS, PRICING AND DEPOSITS
1.0 The cost of all treatments, products and services must be paid in full before departure. Any outstanding balances will be charged to a credit/debit card we hold on behalf of the booking.
1.1 In the event of an unsecured reservation by credit/debit card, Guild Rooms Limited reserve the right to cancel any appointment without notice at any time. All appointments require card details in advance, to secure your appointment. Your card will not be charged unless you fail to show up, or cancel within 24 hours of your appointment start time – see cancellation policy for further details.
1.2 Cheques and Postal Orders are not accepted as payment for any goods or services.
1.3 All prices, where applicable, are inclusive of VAT at the current rate. We also reserve the right to amend prices at any time without notice.
1.4 The following provisions of this section will apply to the maximum extent permitted by applicable law and will not limit or exclude our liability in respect of any matter which it would be unlawful or illegal for us to limit or to exclude our liability. In no event will we be liable for any direct or indirect damages (including any damages for loss of profits or revenue, loss or corruption of data, software or database, or loss of or harm to property or data) incurred by you or any third party, arising from your access to, or use of, our website or third payment providers.
1.5 Group bookings (two or more clients), afternoon teas, private hire/parties, single appointments or consecutive appointments with a total time of 2hrs or more, will incur a non refundable deposit of 50% of the entire booking paid upfront at the time of booking.
1.6 Prices may change and offers may be withdrawn at any time.
CANCELLATIONS POLICY AND AMENDMENTS
2.0 For all appointments we respectfully request 24 hours notice before your appointment start time for appointment cancellations or amendments. Please understand that when you miss or cancel your appointment without giving enough notice, we miss the opportunity to fill that appointment time. This cancellation policy gives us the time to inform our waiting guests of appointment availability and time for them to make a new booking. Our aim is to provide an excellent service level and this policy allows us to achieve this.
2.1 In the event of giving less than 24 hours notice of your appointment start time, to cancel, failure to arrive (no show), or amending your appointment to another time or day, 100% of the value of your appointment will be charged in full. No value will be transferable. We reserve the right to use the credit/debit card held on behalf of the booking to cover the charge.
2.2 In the case of group bookings (two or more clients), afternoon teas, private hire/parties, single appointments or consecutive appointments with a total time of 2hrs or more, these bookings require a 72 hour notice period. Cancellations, failure to arrive (no show), or amending your appointment to another time or day within the 72 hour notice period then 100% of the value of your booking will be charged. The charge may also include costs associated with any specific products or services requested for your appointment. These bookings are non transferable within the 72 hours notice period. You will be charged in full and be required to make a new booking.
2.3 An amendment, cancellation or postponement of an appointment giving at least 24 hours notice will not occur any charge. For group bookings (two or more clients), afternoon teas, private hire/parties, single appointments or consecutive appointments with a total time of 2hrs or more – these bookings require a 72 hour notice period. An amendment, cancellation or postponement of an appointment giving at least 72 hours notice will not occur any charge.
2.4 Guild Rooms Limited reserves the right at all times to cancel, modify or terminate an appointment in the event there are reasonable grounds for doing so.
2.5 On occasion we may need to move your treatment time due to unforeseen circumstances such as employee absence, lateness or illness. If this is the case, we will always do our very best to keep this as close to your preferred time as possible.
YOUR PROPERTY
3.0 Guild Rooms Limited accept no responsibility for loss of, or damage to, any guests property, howsoever caused, whilst on the premises at any time, unless it is solely due to negligence of the Guild Rooms Limited or its employees.
CONDITIONS OF YOUR VISIT
4.0 Unless specified otherwise, please arrive 5-10 minutes prior to your appointment. If you are later than 5 minutes after your appointment start time we reserve to right to cancel your appointment and you will be charged in full.
4.1 Guild Rooms Limited is not a medical or health centre and you are advised to visit your GP or medical profession if should you have any concerns regarding your current state of health.
4.2 Information on the fourteen major food allergens is available on request. Some allergens may be listed on our menus, but if you have any questions about the presence of food allergens, please ask before ordering. We take allergies seriously and we endeavour to assist where possible. However, it is ultimately your responsibility to ensure that your food choices are suitable for your personal consumption.
4.3 Whilst we endeavour to guide you during your visit, it is ultimately your responsibility to ensure your treatment selection is suitable for your current state of health.
4.4 Before undertaking any treatment guests will be required to complete and sign a health or suitability questionnaires including patch tests, which will be checked to ensure suitability of treatments.
4.5 For guests’ peace of mind and security, CCTV cameras are installed at key locations within the premises and grounds. Guild Rooms Limited cannot accept any liability for loss or damage to guests’ personal effects unless due to negligence. Excessive amounts of cash or valuables should not be brought to the premises. All personal items should be covered by your own insurance.
4.6 We take every care to ensure that, at the time of going to print, the details in our literature were accurate regarding the description and information about facilities available or planned to be available. Our photographs are intended for general guidance only. There may be occasions when advertised services or facilities need to be withdrawn temporarily due to repair or unavailability or other factors out of our control.
4.7 Guild Rooms Limited takes precautions to try to ensure that information contained in booking confirmations is correct. However, in the unlikely event of error, the terms of the agreement are those agreed at the time of the booking. Customers are therefore requested to check the accuracy of booking confirmations thoroughly and contact Guild Rooms Limited if there are any discrepancies.
4.8 We reserve the right to charge guests for the cost of rectifying damage which has been caused by the deliberate, negligent or reckless acts of guests to Guild Rooms Limited property or structure. If such damage is discovered during your visit will be drawn to the guest’s attention but if identified after guests have departed then we reserve the right to make a charge to the guest’s credit / debit card or send an invoice for the costs for payment to the registered address. We will however make every effort to rectify any damage internally prior to contracting specialists to make the repairs, and therefore will make every effort to keep any costs that guests would incur to a minimum.
4.9 We reserve the right to charge guests the cost of replacing any items that are removed from the premises by them without consent. The charge will be the full replacement amount of the missing item, including any carriage charges. Should the fact that the item is missing come to light after the guest has departed, we reserve the right to make a charge to the guest’s credit / debit card, or send an invoice for the amount to the registered address.
4.9.0 Guests agree to be held personally liable for any charges incurred during their visit.
4.9.1 If you feel dissatisfied with any aspect of your visit with us, please speak to the Duty Manager. In most cases he or she will be able to assist immediately. Where this is not the case, write to the General Manager preferably within 21 days after the end of your visit at the following address: General Manager, Guild Rooms limited, Leicester, LE1 5FQ. Wherever possible, complaints should be raised with the duty manager prior to departure.
GIFT VOUCHERS
5.0 Guild Rooms Limited gift vouchers are valid for 12 months from the purchase date and are available online and instore. Gift vouchers have a strict expiry date and cannot be exchanged after this date has passed.
5.1 Gift vouchers can be used on services or retail products purchased online or instore.
5.2 Cards are available to buy online as an e-voucher, if you would like a physical card then this must be bought from the salon.
5.3 Gift cards cannot be transferred or exchanged. If the invoice has a higher value than the gift card then the guest must pay the difference. If the price is lower we cannot offer the difference in any other monetary form.
5.4 Gift voucher purchasers will receive a confirmation email with all the details regarding their card purchase. If you would like to know the outstanding balance of their card they must contact the salon.
5.5 Delivery guarantees cannot be applied in the event of service interruptions or failures caused by events beyond Guild Rooms Limited. In the event of any issues with the purchase of gift vouchers Guild Rooms Limited accepts no responsibility for any additional losses that were not caused by any breach on the part of the supplier (Fresha.com SV Ltd).
5.6 Images on the website are for guidance only and may differ from the actual goods themselves.
5.7 Gift vouchers are non-refundable and cannot be exchanged for cash. Change for unused voucher amounts will not be given.
5.8 Bookings using gift vouchers can be made in advance and are subject to availability. Please book early to avoid disappointment. Only original Guild Rooms gift vouchers will be accepted as payment at The Guild Rooms.
5.9 When partial payment for a spa day or spa break is made using a voucher, we require a card number at the point of booking to secure your booking.
5.9.1 Discounts cannot be used to purchase gift vouchers.
PROMOTIONS
All promotions are valid until further notice only and cannot be used in conjunction with any other offer or promotion. Guild Rooms Limited reserves the right to remove promotions at any time without notice.
LOYALTY CARD
These terms and conditions govern the use of the Love is Loyalty Reward Card (“the Card”) offered by Guild Rooms Limited (“the Salon”) to its valued customers. By obtaining and using the Card, you agree to abide by the following terms and conditions:
6.0 Eligibility: The Card is open to all customers who receive services at the Salon. Only individuals aged 18 and above are eligible to participate.
6.1 Card Issuance: To obtain the Card, customers must provide their valid contact information and consent to receive communications from the Salon. The Salon reserves the right to refuse issuance of the Card at its discretion.
6.2 Earning Rewards: Customers will earn a visit stamp for each eligible transaction made at the Salon with a minimum transaction value of £25 and may be earned for services and product. Only one stamp per visit. Loyalty card can not be used with any other offer including student discount or any other discounted service.
6.3 Reward Redemption: Customers may redeem their discount on products, or services to the maximum value of £25. Discount may be redeemed only once the customer reaches the minimum required 6 visits. There is no cash alternative, non-transferable and cannot be used to buy Gift Vouchers. Free prosecco drink on the 3rd visit may be exchanged for a beer or soft drink but is not transferable and there is no cash alternative.
6.4 Reward Expiry: Visits must be recorded within a 12 month period. The reward discount must be used on the 6th visit. The Salon will not notify customers of point of expiration via the contact information provided at issuance.
6.5 Card Replacement: Lost or stolen cards must be reported to the Salon immediately. Replacement cards may be issued at the Salon’s discretion, and all visits earned up to the point of replacement will be transferred to the new card.
6.6 Changes to Program: The Salon reserves the right to modify, suspend, or terminate the Loyalty Reward Card program, including these terms and conditions, at any time without prior notice. Any changes to the program will be posted on the Salon’s website or in the Salon.
6.7 Data Privacy: By participating in the loyalty program, customers consent to the Salon collecting and using their personal information for program-related purposes only.
6.8 Disputes: Any disputes related to the Salon loyalty program shall be resolved at the sole discretion of the Salon. The Salon’s decision on all matters related to the program shall be final and binding.
6.9 Governing Law: – These terms and conditions are governed by the laws of the United Kingdom, and any legal action arising from or related to the loyalty Reward program shall be brought in the appropriate courts of the United Kingdom.
6.9.1 Contact Information: – For questions, concerns, or assistance related to the Salon loyalty program, please contact the Salon directly. By obtaining and using the Salon loyalty card, you acknowledge that you have read, understood, and agreed to these terms and conditions. STUDENT DISCOUNT
7.0 Student discount cannot be applied online and will be applied upon checkout in store after your visit.
7.1 Student discount cannot be used in conjunction with any other offer.
7.2 Management reserve the right to give student discount if a valid and accredited student discount card can be shown.
HEALTH MATTERS
8.0 By making a booking or purchasing a gift voucher you are confirming to us that you have provided all relevant information to us in relation to the matters listed on below at the time of booking in relation to all those persons who will be receiving any services from the Salon.
8.1 Accordingly, you accept that we shall not be liable if any such matters or other relevant information are not disclosed prior to treatment. If such relevant information is not disclosed in advance and is either subsequently disclosed or suspected by The Guild Rooms employees at their sole discretion, you acknowledge that The Guild Rooms may not be able to provide a treatment and, should service be refused due to non-disclosure, The Guild Rooms reserves the right to charge in full for treatments booked.
8.2 Examples of matters which must be disclosed to us prior to treatments:
- If you suffer from any allergies or medical conditions (e.g. heart condition, high/low blood pressure, diabetes, viral, bacterial or any other type of infection) or have or have recently had any injury. This may mean that some treatments are contra indicated in part or in full.
- If you have recently undergone an operation or received or are undergoing treatment for cancer or any other major medical condition within the last 5 years.
- If you have loss of hair, poor scalp conditions, bruising, rashes, swelling, skin tags, open sores or wounds, sunburn or have had sun exposure in the 48 hours prior, raised varicose veins, phlebitis, psoriasis, raised moles, undiagnosed bumps, athletes foot, verruca, fungal nail infection, ring worm, recent scar tissue, onychoptosis, pseudomonas, onychia, whitlow, fever, haemophilia, neuralgia, scabies, chilblains, recent broken bones or fractures
- If you are pregnant or trying to become pregnant.

MASSAGE POLICY, GUIDELINES AND EXPECTATIONS
15.0 Massage sessions will begin and end at the scheduled time. Sessions that begin late due to the
client’s late arrival will end at the scheduled time and the client will be billed for the full time.
15.1 All clients will be treated with respect and dignity. Personal and professional boundaries will be
respected at all times.
15.2 Clients must provide an accurate health history and agree to inform their therapist of any updates or changes to their health/medical condition.
15.3 Any client with a contagious condition including common cold, influenza, stomach flu,
coronavirus, meningitis, shingles, contagious skin conditions, etc. must not come into the office,
but call to inform the therapist before scheduled appointment time. Clients may reschedule their
appointment after the contagious condition has resolved. Guild Rooms cancellation policies still apply.
15.4 Clients with signs of symptoms of an active systemic or localized infection (e.g. fever, sore throat, swelling, etc.) at the time of a scheduled massage are asked to notify their therapist and
reschedule their appointment. Guild Rooms cancellation policies still apply.
15.5 Massage therapists only provide therapeutic massage and modalities that are within the scope of practice for this licensed profession. Clients with acute injuries or conditions that are outside of
the scope of practice for massage should consult with their doctor.
15.6 All clients will be appropriately draped with a sheet at all times during the massage session. Only the area(s) of the body that are currently being worked will be exposed. The genital area is never exposed or massaged.
15.7 Client privacy and confidentiality will be maintained at all times.
15.8 Any client who arrives under the influence of drugs or alcohol will be asked to leave. Our massage rooms are non-smoking, non-vaping odor-neutral massage rooms.
15.9 Clients are expected to be clean and have showered prior to receiving massage (on same day).
15.9.1 All clients are provided with a competent and professional massage that focuses on the needs of each individual client.
15.9.2 Harassment of any kind is not tolerated and the session will be terminated if this occurs, or if the practitioner’s safety is compromised in any way.
15.9.3 Clients are asked to avoid eating a heavy meal during the two hours prior to receiving massage.
GOVERNING LAW AND JURISDICTION
16.0 The Terms are governed by the laws of England and Wales and the parties submit to the exclusive jurisdiction of the English courts.
