IMPORTANT/INTRODUCTION
Please note, these are applicable to all guests, consumers and customers paying or non-paying.
Independent Professional Collective
1. Independent Status: All hair and beauty technicians operating within The Guild Rooms / 1-3 Guildhall Lane (the “Premises”) are independent, self-employed business owners. They are not employees, agents, or partners of Ivyjade Limited or the Premises owner. Each technician maintains their own professional insurance and is solely responsible for the services they provide.
2. Contract for Services When you book a treatment or service, your legal contract is directly and exclusively with the individual technician performing the service. Ivyjade Limited acts solely as a facility provider, providing the professional space and infrastructure for these independent businesses to operate.
3. Liability and Insurance Each independent technician is solely responsible for the standard of their work, their professional conduct, and the results of any treatments provided. Every technician is required to maintain their own valid Public Liability Insurance and professional indemnity cover.
- Ivyjade Limited accepts no liability for any loss, damage, injury, or dissatisfaction arising from services provided by independent technicians.
4. Payments and Bookings Payments for services are made directly to the technician (or via their specific booking profile). Any disputes regarding pricing, refunds, or service quality must be resolved directly with the individual professional concerned.
5. Data Protection Client data provided during booking is managed by the individual technician in accordance with their own GDPR policies. Ivyjade Limited may provide the platform (e.g., Fresha) for these bookings but does not assume liability for the technician’s data management.
RESERVATIONS, PAYMENTS, PRICING AND DEPOSITS
1.0 Independent Contract: All hair and beauty services are provided by independent, self-employed professionals. Your contract for service is exclusively with the individual professional performing your treatment. Ivyjade Limited acts solely as a facility provider and is not responsible for the pricing, execution, or results of any services.
1.1 Payment: The cost of all treatments, products, and services must be paid in full to the individual professional before departure. Each professional may have their own preferred payment methods. In the event of an outstanding balance, the professional or the booking platform reserves the right to charge any credit/debit card held on file.
1.2 Card Security: To secure an appointment, valid credit/debit card details are required in advance. Individual professionals reserve the right to cancel any unsecured reservations without notice. Your card will not be charged unless you fail to show up or cancel within the timeframe specified in the individual professional’s cancellation policy.
1.3 Payment Methods: Cash and card payments are accepted as per the individual professional’s setup. Cheques and Postal Orders are strictly not accepted for any goods or services.
1.4 Pricing & VAT: All prices are set by the independent professional and, where applicable, are inclusive of VAT at the current rate. Professionals reserve the right to amend their prices at any time without notice.
1.5 Limitation of Liability: To the maximum extent permitted by law, Ivyjade Limited shall not be liable for any direct or indirect damages, loss of profits, or harm to property arising from services provided by independent technicians, or from your use of the website and third-party payment providers (e.g., Fresha).
1.6 Group & Long Bookings: For group bookings (two or more clients), private hire, or appointments exceeding 2 hours, the individual professional may require a non-refundable deposit of up to 50% of the entire booking, payable at the time of reservation.
1.7 Offers: Prices may change, and individual professional offers or discounts may be withdrawn at any time at the technician’s discretion.
CANCELLATIONS POLICY AND AMENDMENTS
2.1 Independent Policy: Each independent professional at the Premises manages their own diary. They respectfully request at least 24 hours’ notice for any appointment cancellations or amendments. This allows the professional the opportunity to offer the appointment time to other clients on their waiting list.
2.2 Cancellation Charges: In the event of giving less than 24 hours’ notice, failure to arrive (no-show), or amending an appointment within the 24-hour window, the individual professional reserves the right to charge 100% of the scheduled service value. This charge is non-transferable. The professional or the booking platform (e.g., Fresha) reserves the right to use the credit/debit card held on file to recover this fee.
2.3 Group & Extended Bookings: For group bookings (two or more clients), private hire, or consecutive appointments totalling 2 hours or more, a 72-hour notice period is required. Cancellations or amendments within this 72-hour window will result in a charge of 100% of the total booking value, including costs for any bespoke products or services pre-ordered for the session.
2.4 Notice Periods: No charges will be incurred for cancellations or amendments made with more than 24 hours’ notice (or 72 hours for group/extended bookings).
2.5 Professional’s Right to Cancel: The individual professional reserves the right to cancel, modify, or terminate an appointment at any time if there are reasonable grounds to do so.
2.6 Unforeseen Circumstances: Occasionally, an independent professional may need to move a treatment time due to unforeseen circumstances (such as illness or personal emergency). In such cases, the professional will contact you directly to reschedule as close to your preferred time as possible. Ivyjade Limited accepts no liability for any loss or inconvenience caused by a professional’s need to reschedule.
YOUR PROPERTY
3.1 Liability for Belongings: While we strive to provide a secure environment, Ivyjade Limited and the independent professionals operating at the Premises accept no responsibility for the loss, theft, or damage of any personal property (including clothing, jewellery, or electronics) brought onto the Premises. Clients are advised to keep personal belongings with them at all times.
CONDITIONS OF YOUR VISIT
4.1 Arrival & Lateness: Please arrive 5-10 minutes prior to your appointment. If you are later than 5 minutes after your start time, your independent professional reserves the right to cancel your appointment, and you will be charged in full as per the cancellation policy.
4.2 Medical Disclaimer: The Premises is not a medical or health centre. Clients are advised to consult a GP regarding any health concerns. While independent professionals endeavor to guide you, it is your responsibility to ensure a treatment is suitable for your health.
4.3 Health Questionnaires & Patch Tests: Before undertaking any treatment, guests will be required to complete suitability questionnaires and undergo patch tests. These are managed and held by your individual professional.
4.4 Allergies: Information on food allergens for any refreshments provided is available on request. It is the guest’s responsibility to ensure food/drink choices are suitable for their personal consumption.
4.5 Security & CCTV: For your security, CCTV is in operation at 1-3 Guildhall Lane. Ivyjade Limited accepts no liability for loss or damage to personal effects unless due to proven negligence of the facility. High-value items should be covered by your own insurance.
4.6 Facility Availability: We endeavor to ensure all advertised facilities are available. However, Ivyjade Limited reserves the right to temporarily withdraw services or access to certain areas for repairs or factors beyond our control without notice.
4.7 Damages to Property: Ivyjade Limited reserves the right to charge guests for the cost of rectifying damage caused by deliberate, negligent, or reckless acts to the property or structure. We reserve the right to charge the credit/debit card on file or send an invoice to the registered address for such costs.
4.8 Removal of Property: We reserve the right to charge guests the full replacement cost (including carriage) for any items removed from the premises without consent.
4.9 Professional Feedback: If you are dissatisfied with your treatment, please speak directly to your Independent Professional before departure. If the matter is not resolved, please address your concerns in writing to that specific professional. Ivyjade Limited cannot adjudicate disputes regarding independent service quality.
GIFT VOUCHERS
5.1 Validity: Gift vouchers issued via the Fresha platform are valid for 12 months from the date of purchase. Vouchers have a strict expiry date and cannot be exchanged or extended.
5.2 Usage: Vouchers can be used against services provided by participating independent professionals or retail products stocked at the premises. Note: Some independent professionals may manage their own separate voucher schemes; please check at the point of purchase.
5.3 Non-Refundable: Gift vouchers are non-refundable, non-transferable, and cannot be exchanged for cash. No change will be given for unused amounts; balances will remain on the voucher for future use within the validity period.
5.4 Booking with Vouchers: Bookings are subject to availability. To secure a booking using a voucher, a valid credit/debit card may still be required at the point of reservation to adhere to the cancellation policy.
5.5 Third-Party Services: In the event of service interruptions with the voucher provider (e.g., Fresha), Ivyjade Limited accepts no responsibility for additional losses beyond our direct control.
PROMOTIONS
6.1 Scope: All promotions are valid until further notice and cannot be used in conjunction with any other offer. Individual independent professionals reserve the right to run, modify, or withdraw their own specific promotions at any time. Ivyjade Limited reserves the right to remove facility-wide promotions without notice.
STUDENT DISCOUNTS
7.1 Student discounts are offered at the sole discretion of the individual independent professional. They cannot be applied to online bookings and will be adjusted at checkout.
7.2 Student discounts cannot be used in conjunction with any other offer.
7.3 A valid and accredited student ID must be presented to the professional to qualify.
HEALTH MATTERS & DISCLOSURE
8.1 By making a booking, you confirm that you have provided all relevant medical information to your Independent Professional.
8.2 Liability: Neither Ivyjade Limited nor the independent professional shall be liable for any injury or adverse reaction if relevant medical information was not disclosed prior to treatment.
8.3 Right to Refuse: If a professional suspects a contraindication (medical reason why a treatment cannot be performed) that was not disclosed in advance, they reserve the right to refuse service and charge the appointment in full.
8.4 Matters for Disclosure include (but are not limited to):
- Allergies, heart conditions, high/low blood pressure, diabetes, or recent infections.
- Recent operations, cancer treatments (within the last 5 years), or pregnancy.
- Skin conditions (psoriasis, eczema, open wounds, fungal infections, or recent sun exposure).
- Any undiagnosed lumps, bruising, or recent fractures.

INDEMNITY
11.1 You agree to indemnify and hold harmless Ivyjade Limited, its representatives, and the independent professionals from any claims arising out of your breach of these terms or your unauthorized use of the website and its content.
MASSAGE POLICY & EXPECTATIONS
12.1 Scheduling: Sessions begin and end at the scheduled time. Late arrivals will result in a shortened session charged at the full rate.
12.2 Professional Conduct: All clients and therapists will be treated with dignity. Harassment of any kind will result in immediate termination of the session and a full charge.
12.3 Health & Hygiene: Clients must provide accurate health histories and arrive clean/showered. Those under the influence of drugs or alcohol will be refused service and charged in full.
12.4 Contagious Conditions: Clients with active infections (Cold, Flu, COVID-19, contagious skin conditions) must not attend. Standard cancellation policies apply.
12.5 Scope of Practice: Massage therapists provide therapeutic modalities only. They do not diagnose medical conditions. Genital areas are never massaged, and professional draping is maintained at all times.
COMPLAINTS & FEEDBACK
13.1 If you are dissatisfied with any aspect of your visit, please speak to your Independent Professional immediately.
13.2 Formal written correspondence regarding the facilities should be directed to the Director of Ivyjade Limited, 1-3 Guildhall Lane, Leicester, LE1 5FQ. Disputes regarding treatments must be taken up directly with the self-employed professional concerned.
GOVERNING LAW
14.1 These Terms are governed by the laws of England and Wales and the parties submit to the exclusive jurisdiction of the English courts.
